Reporting to the Director of Workplace Planning & Strategy, the role of Associate Director - Head of Workplace Planning is to lead the Workplace Planning Team with 3 direct reports. The focus of this role is to develop and layout all office and laboratory projects across Gilead's portfolio of more than 100 buildings across 36 countries.

This role requires an in-depth knowledge and experience of space planning in the areas of office and laboratory workplaces and will require close collaboration with Finance and Human Resources on headcount projections, Workplace Design on programming, as well as assist business unit stakeholders in space planning. This position will also keep the Computer-Aided Facilities Management (CAFM) system updated with accurate as-built drawings and will be responsible to collect, update, manage and report space planning-related data to relevant stakeholders. Additionally, this position will analyze and utilize the space data to collaborate in the strategic and long-range planning for the programming, design, and development of our workplace.

The Role

Key responsibilities of the role include but are not limited to:

Based in Gilead's headquarters in Foster City, California, the Associate Director - Head of Workplace Planning will be responsible for the development and space planning of office and laboratory workplaces, including the planning of laboratory equipment layouts.

Workplace Planning:
  • Provides advanced technical knowledge in the planning and programming of our laboratories and workspaces.
  • Participates in user group meetings to collect program needs for laboratory and workspace specifications.
  • Assists in the design development, modification and/or review of laboratory and workspace planning concepts and solutions.
  • Responsible for modeling scenarios for business unit and stakeholder review
  • Coordinate with internal business partners, Facilities Operations, and SH&S in developing, reviewing and approving design criteria, layouts and detail drawings.
  • Actively seeks new knowledge in the design and planning of laboratories and workspaces.
  • Stays abreast of changing technologies related to Workplace planning and partakes in local and national conversations regarding space planning technologies.


CAFM Data:
  • Oversees Gilead's CAFM system/ workplace planning software database system.
  • Support maintenance of CAFM software for accurate record drawings, data verification, space categorization, room number designations, occupancy/allocation accuracy.
  • Establish/ Maintain systems and processes to capture and analyze data that measures headcount, occupancy, space utilization to develop strategies at local, regional and portfolio level.


Skills
  • Strong team player with an ability to collaborate and work in a team environment.
  • Excellent interpersonal and communication skills with the ability to convey laboratory planning needs to designers and other team members.
  • Demonstrates creativity, passion and interest in design and planning of laboratories and workspaces.
  • Self-starter, with the ability to organize and prioritize with minimal supervision.
  • Strong data management skills and the ability to expertly use a large space planning database system.
  • Thorough working knowledge and skill of space planning in the field of Biotechnology.
  • Knowledge of technical and regulatory requirements for laboratory design.
  • Understanding of architectural drawings, specifications and space management processes.


Education and Experience
  • Bachelor's degree in architecture or equivalent, laboratory design certification preferred. Master's degree preferred.
  • A minimum relevant work experience of 12+ years with BS/BA or 10+ years with MS/MA or MBS.
  • Experience in managing complex and challenging projects is expected.
  • Previous experience with Computer-Aided Facilities Management (CAFM).
  • Proficient in AutoCAD and Revit, in addition to the ability to read drawings, plans and specifications.
  • Proficiency in MS Office, including Word, Excel, PowerPoint and Outlook.
