SALARY AND BENEFITS:



Salary Range: $3,736.00/month to $6,893.00/month.PLEASE NOTE:The starting salary placement depends on qualifications and experience and is anticipated to be in the range of $3,736.00/month to $5,315.00/month.

ABOUT THE POSITION:



The Cal State East Bay Libraries support student learning and success both online and on campus with digital collections and services, printed books, and welcoming spaces. The Library CORE Building supports traditional quiet study, collaborative group study, and peer-to-peer training and exploration. With 75,000 square feet devoted primarily to student use, over 2,300 study seats, 32 group study rooms, several meeting rooms, and special event locations, maintaining a safe, attractive, welcoming and innovative environment in the Library CORE Building is essential to student engagement.



The Library Building Coordinator reports to the Library Office Coordinator. The position is responsible for maintaining the space in the building to support library functions and student success. The Building Coordinator serves as the liaison between the facilities department and library employees for building maintenance and upgrades. The Building Coordinator works with the library web designer to maintain physical and digital signage, oversees room scheduling and special events planning, coordinates appropriate use of special locations in the CORE Building such as the meditation room, the Innovation Hub, meeting rooms, and instruction spaces. The Building Coordinator serves as the library lead for building security, chairs the library safety and security team, and collaborates with UPD on safety within the library building.



This position is expected to work evening and weekend hours to support events that do not occur during regular business hours. The regular schedule will be Sunday-Thursday.



RESPONSIBILITIES:



BUILDING MAINTENANCE

  • Serve as the library's primary point of contact with the Facilities Department for building maintenance issues

  • Provides lead work direction to the student assistant(s) who support event set-up and provide basic maintenance for group study areas. The student's duties include

    • Cleans whiteboards and tables

    • Restores chairs and whiteboards to their proper locations

    • Informs custodians about serious issues with cleanliness

    • Event set up and clean up



  • Deploys signage for the library

  • Prepares key request order forms and assure delivery/pick-up of forms and keys

  • Works with the Property Department for library property inventory

  • Regularly inspects the CORE building for maintenance and security issues

  • Coordinates the planning and management of facilities projects

  • Plans and coordinates the selection, placement and procurement of furniture for public spaces throughout the library

  • Consults with department heads and supervisors regarding facilities projects that may affect library operations

  • Advises library employees on potential improvements to building policies and procedures




SCHEDULING & EVENTS

  • Monitors study room reservation system and makes adjustments and exceptions as needed

  • Schedules instructional spaces, meeting rooms, and special events locations such as the Innovation Hub and the balcony

  • Supports events in the library building, including:

    • Setting up furniture

    • Verifying Audio-visual support – coordinating with the Library Learning Commons and campus ITS

    • Organizing food according to campus and library policies

    • Post-event clean-up



  • Approves requests for filming and photography in the library




SECURITY & SAFETY

  • Serves as the lead for safety in the library

  • Chairs the library safety and security committee and coordinates with campus police

  • Maintains the library Emergency Action Plan

  • Advises on safety and security policies for the building

  • Trains all new library employees (including student assistants) on safety protocols and provides library-wide training and refreshers as needed




TEAM & OTHER DUTIES

  • Communicates and participates as part of a team, which includes:

    • Increases knowledge of team building skills

    • Establishes effective working relationships

    • Works cooperatively with team members on projects



  • Participates on library committees and taskforces

  • Works on nights and weekends as needed – responsible for opening and closing as needed

  • Other duties as assigned




REQUIRED QUALIFICATIONS:

  • Ability to plan, monitor, and oversee projects.

  • Knowledge of trends in learning space and library design.

  • Ability to maintain strict confidentiality

  • Ability to compile, write, and present reports

  • Ability to train others on new skills and procedures and provide lead work direction

  • Ability to independently handle multiple work unit priorities and projects.

  • Ability to work collaboratively with library faculty and staff and with other departments on campus

  • Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.

  • Knowledge of the university infrastructure, policies, and procedures.

  • Thorough knowledge of English grammar, punctuation, and spelling.

  • Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist.

  • Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.

  • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make projections

  • Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.

  • Ability to use negotiation and persuasion skills to achieve results and expedite projects.

  • Ability to work evenings and weekends when required.




MINIMUM QUALIFICATIONS:

  • General understanding of a library's organization structure and key functional operations.

  • Basic knowledge of library terminology and bibliographic forms and structures.

  • General understanding of library automated systems and the ability to quickly learn and use campus library systems, as well as related on-line catalogs and systems.

  • Ability to quickly learn and apply policies and procedures related to assigned functional work area.

  • Ability to use standard features of office support technology and standard software packages.

  • Demonstrated proficiency in English grammar, punctuation and spelling, including the ability to clearly communicate verbally and in writing.

  • Ability to perform standard arithmetic operations.

  • Ability to work under minimal supervision to perform assigned work.

  • Ability to work within a diverse environment and be service-oriented in working with patrons and other library staff, including the ability to establish and maintain effective working relationships within and outside the library.


These qualifications normally would be obtained through the completion of a high school education or equivalent certification plus two to three years of related library and/or clerical experience or an equivalent combination of experience and education.
