Heralded as a hub of undergraduate innovation, the Office of the Vice Provost for Undergraduate Education (VPUE) creates and sustains meaningful interactions between students and faculty both within and outside the classroom. As a collaborative team member of VPUE, you have a unique opportunity to advance and support programs that touch and enhance the lives of every undergraduate student at Stanford. As a team member in a unit that is also affiliated with the Office of the Vice Provost for Graduate Education (VPGE), your positive impact on graduate students and their teaching and learning will also be substantial.

The Center for Teaching and Learning (CTL), ctl.stanford.edu, works to increase the integration of inclusive, evidence-based, and innovative teaching and learning practices in Stanford undergraduate and graduate contexts. CTL works with faculty, lecturers, academic teaching staff, and teaching assistants through programs and services that facilitate training, practice, feedback, reflection, and incorporation of emerging technologies in teaching; CTL also supports students directly through academic coaching, peer tutoring, and programs that enhance students' academic skills and support students' academic goals. CTL has a leading voice on campus for issues related to teaching and learning and contributes to educational strategy, practice, inclusion, diversity, equity, accessibility, and belonging through a wide variety of partnerships and initiatives. CTL staff and affiliates hold the following values central and strive to enact them throughout our work, whether administrative, programmatic, or service-oriented: practicing equity, drawing on evidence, centering participants, caring for people and resources, and learning continuously.

The Center for Teaching and Learning is seeking a dynamic leader and business expert to work in a collaborative higher education environment as Director for Finance and Administration (DFA). The DFA will be an integral member of the CTL senior leadership team and report to the Associate Vice Provost for Education and Director of the CTL. This position is actively engaged in strategic planning for administrative, financial, and business support processes and functions; the DFA plays a key role in designing effective ways for CTL to meet its goals. The DFA directly supervises the administrative staff focusing on the central administrative, business, and events support functions of CTL and the hiring and payroll of student employees (approximately 100). The DFA manages an annual operating budget of approximately $4.5M. Find out more about current CTL priorities here: https://view.publitas.com/stanford-undergrad/ctl50-strategic-plan-guidebook.

In this role, you will:

Oversee finances across all sources for the annual budget cycle, including developing, monitoring, analyzing, forecasting, and regular reporting of a complex budget, with systems of financial controls that meet Stanford and VPUE standards. You will work closely with and support financial planning and spending across teams focusing on different aspects of CTL's mission—supporting educators, supporting students, and implementing academic technologies—including meeting regularly with staff who lead those areas. In addition, you will collaborate with the CTL director on holistic budget planning. Financial oversight also includes managing grants, contracts, and capital purchases.

Lead day-to-day CTL operations, including coordinating administrative and event support, developing approaches to administrative infrastructure, and directly supervising staff. Your management efforts will include hiring, retaining, career coaching, professional development, and performance management of administrative staff. You will also lead the scheduling and planning for internal CTL timelines, All-CTL meetings, and space use and access across CTL programs, in collaboration with the CTL director and other CTL staff.

Plan proactively for CTL's future, particularly involving finances and administration, relationships with vendors and business providers, staffing and facilities, workplace safety and wellness, compliance with policies, and technologies used by CTL. Planning may involve analysis and creation of annual and multi-year plans, creative thinking about alternative methods for achieving goals, and advising the CTL leadership group on ways to improve processes, ways of working, and collaborations.

Represent CTL and collaborate with peers in meetings of Directors of Finance and Administration from multiple offices and centers in VPUE, as well as with human resources managers to guide CTL in interpreting and implementing policies, guidelines, and procedures (e.g., hiring, professional development, performance management), and appointing CTL staff and affiliates, such as lecturer consultants, graduate fellows, and others.

Represent CTL finance and administrative operations in other settings within VPUE and the university, as well as with external constituencies such as visitors, guests, and professional organizations related to CTL functions.

Oversee CTL's main location and other facilities used for specific programs, which involves coordinating with CTL staff, building liaisons, and VPUE facilities and technology staff, and with campus and business partners as needed, for oversight of maintenance, repair, and/or construction projects.

The job duties listed are typical examples of work performed by positions in this job classification and are not designed to contain or be interpreted as a comprehensive inventory of all duties, tasks, and responsibilities. Specific duties and responsibilities may vary depending on department or program needs without changing the general nature and scope of the job or level of responsibility. Employees may also perform other duties as assigned.

To be successful in in this role, you will bring:

Bachelor's degree and five years of relevant experience in administrative and financial management, or equivalent combination of education and relevant experience.

Demonstrated financial expertise and experience in accounting, budget planning, and financial forecasting.

Demonstrated leadership and supervisory skills, including staff management, development, mentorship, and conflict resolution.

Demonstrated ability to manage administrative, technical, financial, and operational needs of an organization with multiple teams, programs, services, and/or client profiles.

Excellent planning and organizational skills.

Strong analytical and problem-solving skills.

Strong expertise in business and management computer applications and databases.

Ability to manage time to achieve multiple overlapping and distinct tasks while meeting short- and long-term deadlines.

Attention to detail and accuracy.

Proactive approach to communication and to continuous improvement of individual and unit processes and products.

Physical requirements/working conditions*: Constantly perform desk-based computer tasks; frequently sitting; occasionally stand/walk, writing by hand, use a telephone, lift/carry/push/pull objects that weigh 11-20 pounds; rarely sort/file paperwork or parts, rarely twist/bend/stoop/squat. Occasional evening and weekend hours.

* - Consistent with its obligations under the law, the University will provide reasonable accommodation to any employee with a disability who requires accommodation to perform the essential functions of the job.
