STUDENT HOUSING
The Housing Project Planner/Scheduler/CAD/Space Data Manager reports to the Associate Director of Housing Planned and Sustainability Projects within Student Housing. The Project Planner/Scheduler/CAD/Space Data Manager maintains a master schedule for all projects understands the needs of reporting to various stakeholders and agencies and provides day-to-day performance monitoring and enforcement of the on-time delivery of projects in Student Housing. He/she interacts with project managers, making sure the expectations of the Associate Director are met and project requirements delivered as agreed. The Project Planner/Scheduler/CAD/Space Data Manager also supervises CAD drafters performing drafting services for the SHARE system as well as capturing all as-built information in a retrievable system for use by project managers and property managers. In addition, the Project Planner/Scheduler/CAD/Space Data Manager is responsible for the accuracy and upkeep of all space data relating it to the poly-lined drawings that house information related to 5,000,000 square feet of property in Residential & Dining Enterprises (R&DE) operations.
Specific Responsibilities:
• Create, modify and maintain a comprehensive master schedule capturing all projects, detailing each sequence of work that should be done at a particular time.
• Record the effects of work being performed on time and not performed on time. Responsible for evaluating the progress of project schedules and for preparing regular updates.
• Coordinate with Project Managers and Operations Managers and external agencies to discuss project progress and find solutions to scheduling issues.
• Provide input in developing work schedules as part of estimating costs of projects, illustrating project timelines and milestones.
• Prepare and issue proposed and provisional schedules
• Serve as technical advisor for master planning problems
• Analyze schedules identifying conflicts, overlaps, and impacts to supporting groups such as Contracts, Conferences and County Agencies
• Consult and coordinate with relevant project team members to ensure completion of proper planning before a project is started.
• Assist project managers in generating schedules for immediate implementation, as well as monitor the same schedule’s impact on a master schedule.
• When scheduling problems arise, determine the cause and present solutions to solve problems.
• Anticipate potential schedule or priority delays and recommend plans for alternative actions informing Student Housing management promptly.
• Keep project managers and the Associate Director properly informed as to the progress, issues, and current status of projects on a regular, twice-monthly basis.
• Responsible for coordinating and preparing the final drawings that will be used for SHARE system
• Manage the drafting team, ensuring the consistent appearance and quality of all drawings prior to delivery/publishing.
• Supervise scheduling of CAD project assignments
• Lead CAD efforts on projects including developing plans and schedules and assigning tasks
• Analyze, prepare and ensure quality of CAD drawings
• Review and evaluate current layering and drafting conventions, setting standards for use in-house and by project consultants. Coordinate CAD and space identification standards with university Maps & Records department.
• Communicate effectively with other internal departments regarding information related to CAD drawings. Perform liaison role with university Department of Project Management for CAD drawings, room numbering, and functional use and signage schedules associated with R&DE building construction/renovation projects.
• Participate in departmental planning including recruitment, performance reviews and Training recommendations
• Manage the space inventory of 5.0 M square feet of student residential and dining space; maintain data integrity in departmental and University systems performing vital linkage to the University’s system while working with the appropriate University staff and Student Housing.
• Maintain integrity of space location databases working closely with project groups as spaces are defined and redefined. Edit information as required for changes in space configurations.
• Define the Administrative procedures and practices to manage the identification, notification of change in use as the renovation/construction of residence space proceeds and the documentation of the data file.
• Coordinate the data entry of files and records for space from internal and external sources. Coordinate with R&DE Information Technology department to manage space data integration, batch file import functions, and enterprise space reporting.
• Complete the transfer of all verified data into the Location Space Database. Review and audit space and CAD data for accuracy, manage updates as needed.
• Coordinate with R&DE Information Technology department to establish and maintain space data definitions and standards, to Support business needs and reporting requirements.
• Interface with key Student Housing and University staff to manage access to residence space information.
• Prepare user information Training for space inventory system
• Maintain and provide integration of a drawings database.
• Maintains a pro-active approach to work practices; manages work priorities daily to meet operationally peak and emergency work and requests.
• Proven database proficiency with SQL querying of Sybase and Oracle databases.
• Proven experience with a variety of spreadsheet and database software, such as Excel, FileMaker Pro, Microsoft Access.
Qualifications:
• Professional degree in business administration or related field, 4-year degree.
• Post-secondary Education in CAD design
• 5 years experience providing direct supervision of CAD team.
• 5 + years’ experience in a drafting/design environment
• 1-2 years progressive experience, managing projects in a changing environment.
• Ability to solve complicated problems and produce recommendations with a minimum of direction.
• Ability and willingness to work on multiple projects simultaneously.
• Demonstrated competence with a variety of office Computer software applications.
• Ability to formulate and articulate clearly, policies, procedures and practices.
• Proven ability to develop working relationships with a broad and very diverse constituency.
• Proven experience with a variety of database software such as FileMaker Pro, 4D, Microsoft Access.
• Demonstrated ability to prioritize and organize in a demanding work environment
• Excellent written and verbal communication skills
• Excellent interpersonal skills/positive attitude and ability to work in a team atmosphere is required
• Proficient in AutoCad 2010
• Ability to resolve and/or communicate any technical issues that may arise
• Ability to read and interpret blue prints, produces sketches, and develops Construction details.
• Valid CA drivers’ license required.
