The Department of Otolaryngology is seeking an Administrator to provide Administrative and research Support to six faculty. This Support will include processing reimbursements, editing research and grant applications as well as faculty correspondence. In addition, this position will provide backup assistance to other staff as needed and provide Support to both postdocs and graduate students.


Primary responsibilities consist of but are not limited to: Prepare, process, monitor and follow-up on University requisitions, reimbursements, and requests. Purchase laboratory supplies and equipment, reconcile monthly budget statements and invoices, and monitor billing and timely shipment of goods. Develop spreadsheets to monitor status of various projects and provide timelines for completion. Assist in the preparation, editing and submission of research manuscripts, grant applications and progress reports, research compliance protocols, and material transfer agreements. In collaboration with lab staff and in conjunction with the Research Process Manager (RPM), assemble grant applications and prepare for submission. Maintain human and animal protocols for faculty and staff. Understand all terms and conditions of grant application and awards and A-21 guidelines and interpret to faculty. Attend Stanford and School of Medicine research meetings and relay pertinent information to faculty and track all SU42 submitted on behalf of the Department of Otolaryngology. Ensure signatures, proper documentation and timeliness of routing on all SU42s. Assist in the reconciliation process of all grant expenditures and maintain any grant files. Assist in the formatting and spell-checking of word processing of complex documents (e.g. books, peer-reviewed articles, research proposals, and correspondence) in a timely and grammatically accurate manner. Improve existing filing system (electronic and hard copy) and other office systems. May draft letters, documents and emails for the faculty’s review and signature. May assist with PowerPoint presentations by harvesting images from the Web.

The successful candidate will have a high school diploma or equivalent and at least 1 year of work-related experience. A college degree or equivalent and 2-3 years of work-related experience preferred. The demonstrated ability to work semi-independently under minimal direction and be able to handle multiple assignments with fluctuating priorities will be needed in this position. Must possess good organizational skills, familiarity with business and communication software (e.g. Word, Excel, PowerPoint, Outlook, and Internet Explorer), attention to detail, filing and accurate typing skills required. S/he must be able to take initiative and exhibit good judgment in all areas of responsibility. Demonstrated ability to function effectively under pressure of deadlines and frequent interruptions in a busy environment while maintaining a pleasant demeanor. Must be a quick learner who can adapt easily to Stanford specific software (e.g. Oracle purchasing, ReportMart3). Familiarity with Accounting and Purchasing principles desired and a plus.
